Position Overview:

We are seeking an experienced and detail-oriented Process Manager to lead the development and management of our organization’s Process Inventory. This role will be responsible for creating and maintaining comprehensive Standard Operating Procedures (SOPs) and visual process diagrams, ensuring that all workflows are well-documented and optimized for efficiency. The Process Manager will collaborate closely with Heads of Departments (HODs) and other key stakeholders to standardize processes and drive operational excellence.

Key Responsibilities:

1. Process Documentation:

Collaborate with HODs and process owners to gather detailed information and create clear, user-friendly Standard Operating Procedures (SOPs).
Establish and enforce a consistent format for all documentation, ensuring uniformity across the organization.
Regularly review and update SOPs to keep them relevant, accurate, and aligned with current practices.

2. Process Diagram Creation:

Develop visual diagrams (e.g., flowcharts, workflow diagrams) to accompany written documentation, using tools like Lucid chart, Visio, or Miro.
Ensure diagrams accurately reflect process flows, decision points, and dependencies.
Manage updates to diagrams as processes evolve, maintaining visual resources that are easy to understand and use.

3. Process Inventory Management:

Organize and maintain the Process Inventory in Notion, ensuring all documents and diagrams are easily accessible and well-labeled.
Track the status of documentation projects, including draft, review, and finalized stages, and manage a review calendar to keep documentation current.
Provide guidance and training to team members on how to navigate and utilize the Process Inventory effectively.

4. Collaboration and Stakeholder:

EngagementAct as the primary liaison between departments to facilitate the documentation and standardization of processes.
Engage with stakeholders to gather feedback, identify areas for improvement, and ensure alignment across teams.
Manage and prioritize documentation requests based on organizational needs and strategic impact.

5. Continuous Improvement:

Analyze feedback and performance data to drive continuous improvement in process documentation and management practices.
Stay up to date with best practices in process management and propose innovative solutions to enhance workflow efficiency.
Proactively seek opportunities to streamline and optimize processes, making recommendations to stakeholders.

Qualifications and Skills:

1. Education and Experience:

Bachelor's degree in business administration, Operations Management, Technical Writing, or a related field is preferred.
6+ years of experience in process management, documentation, or a similar role.

2. Technical Skills:

Proficiency in documentation tools such as Notion, Microsoft Word, or similar platforms.
Experience with diagramming tools like Lucidchart, Visio, Miro, or equivalent software.
Familiarity with project management and collaboration tools is an advantage.
